Job Description – Financial Administrative Systems Coordinator

Job Purpose:

Financial Administrative Systems Coordinator


·         The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision.

·         This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a small office of diverse people and programs.

·         The ability to interact with staff (at all levels) in a fast-paced environment, frequently under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.

·         Perform various clerical and accounting tasks related to the operation of the company and financial trust administration, to include posting entries, verifying, and reconciling input to financial reporting systems, preparing and processing distribution requests, preparing and assisting in the preparation of financial reporting.

·         Assist in ordering, care, maintenance, and utilization of company equipment, supplies and inventories.

·         Attend and participate in conferences, exhibits, training, and related events.

·         May lead, guide, and train staff employees, and/or volunteers performing related work. 

·         Communicate with vendors, clients, and professionals to obtain needed documents, resolve problems, and monitor clients.

·         Work closely with the Executive Director and staff to coordinate, launch, carry out, and evaluate special projects related to professionals, clients, and potential clients.

·         Perform miscellaneous job-related duties as assigned.

Required Skills/Qualifications:

·         Bachelor degree required.

·         Proficient skills in QuickBooks; proficient in Microsoft Word and Excel. Ability to learn software: specifically, TimeMatters database.

·         Expert level of written and verbal communication skills, strong decision-making ability and attention to detail are equally important.

·         Legible handwriting.

·         Ability to handle confidential information with extreme professionalism.

·         Communicate and manage incoming and outgoing phone, fax, and electronic communications on behalf of the organization.

·         Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.

·         Capable of following directions.

·         Punctual.  Arrive to work on time.

·         Orderly and clean.  Maintain work area in an orderly fashion, free of trash, debris, and food.     

·         Business attire in office. 

Required Knowledge and Abilities:

·         Ability to:

·             analyze and solve problems

·             read, sort, check, count, and verify numbers

·             prepare routine administrative paperwork

·             balance/reconcile accounts

·             use an automated accounting system

·             prepare financial reports

·             perform simple account procedures

·         Knowledge of cash management principles and/or procedures.

·         Knowledge of payroll policies and procedures.

·         Knowledge of accounts payable procedures and practices.

·         Proficiency in basic data entry and/or word processing skills.

Working Conditions and Physical Effort:

·         No or very limited physical effort required.

·         No or very limited exposure to physical risk.

·         Work is normally performed in a typical interior/office environment.


·         No personal use of computers during office hours

·         No personal cell phone use during office hours

·         Nonsmoker – no tobacco product or vapor cigarettes

Duties and Responsibilities:
• Deliver exceptional customer service through customer interaction and quality product delivery.
• Receive, sort and place mail in mailboxes accurately
• Record all sales transactions on POS and accurately process cash and credit card transactions. Print reports as requested.
• Operate other software packages
• Receive and process packages for shipping, including lifting and weighting packages on scale, accessing manifesting software, generating labels.
• Assist in merchandising the center, including: stocking shelves with product, ensuring a clean and orderly appearance of product, informing appropriate personnel of inventory levels for re-ordering supplies, being informed of product specifics
• Close out POS to include: reconciliation of cash, credit cards and all other transactions accurately and in accordance with policy and procedures.
• Operate copiers, fax machines, binding equipment and all other office machines in a safe, efficient and productive manner. Help customers operate office machines.
• General housekeeping duties
Other Skills and Abilities:
• Ability to lift up to 50 lbs regularly.
• Ability to stand for extended periods of time. Operate POS, copiers, and complete customer paperwork.
Computer, POS, printing and customer service experience in a retail environment highly desirable.
